Executive Assistant

William Ballard Enterprise, LLC  is looking for a direct and personal Executive Assistant to be part of our team. In this role, the Executive Assistant will run and manage the details for  William Ballard as he strategically leads William Ballard Enterprise, LLC enabling him to work strategically on his key responsibilities.

​The interested candidate must possess exceptional organizational and communication skills. He/she will manage William's personal and professional calendar and schedule so that he is able to be the most productive and valuable to his associates and members/clients.  Must be a highly motivated and goal orientated individual and be eager to be the backbone and foundation that makes the company continue to succeed. 

What Makes This Different Than Any Other Executive Assistant Position?

  • All of your communications will be with members or clients that have done business with us in the past or are interested in doing so because they have heard about our services through our marketing efforts. 
  • You must have a passion to work with entrepreneurs, small business people, and sales professionals as well as with ministry associates. 

Goals and Expectations

  • You will represent William Ballard by handling all communications and scheduling with team members, partners, contractors, and others outside the organization.
  •  You will plan, run and complete set projects given by William Ballard.
  •  You will manage his calendar to ensure efficient scheduling.
  •  You will handle details for the organization that fall under the responsibility of William Ballard.

Requirements: Knowledge and Skills

  • In-depth computer skills required
  • Orginizational and managerial skills
  • Pro-active problem solver
  • Motivated and self-disciplined
  • Excellent written and communication skills with the ability to communicate both internally and externally, and with all levels of client interactions. 
  • Exhibit strong presentation, analytical and organizational skills

Note: As you can see above, organization and management skills are a must. 

Primary Areas of Responsibility 

  • Calendar: Must be able to organize William's calendar around a 90-day strategic plan and weekly objectives, set and confirm all appointments, and schedule all travel. 
  • Communication: Must be able to process William's email daily. Inbox should be at zero by 5pm every business day. This means everyone has been responded to within 1 business day, even if it means a discussion at a later time. There may be extensive communication with partners, affiliates, and even some customers. This must be handled quickly and professionally to ensure we are serving all of our stakeholders in a spirit of excellence. 
  • Administrative Projects: Must be able to coordinate details for administrative projects including consulting gigs, working with contractors, and so forth.  Manage any business finances not covered by accounting and bookkeeping, including William's business expenses and any fees for services or products pertaining to the business. Provide monthly expense reports by the last day of the month by 5pm.
  • Personal Assistant: Assist William in managing household tasks, such as lawn care, plumbing, painting, construction, etc. This includes scheduling, correspondence, and paying for these kinds of services. Help William handle personal tasks like dry cleaning drop-off and pickup, office cleaning, and other miscellaneous needs. You are expected to schedule, correspond with, and follow up on these services to ensure they are taken care of.

Qualifications 

  • Bachelor's Degree
  • Past entrepreneurial experience a plus (not necessary)
  • 3-4 years of administrative assistance across a variety of industries

  • Location: Grand Prairie, Texas 
  • Executive Assistant Role: Must be able to manage and organize calendars and schedules well, as well as set up appointments and communicate effectively with our founder, William Ballard, on a direct basis. 
  • Relocation: Not necessary.

The ideal candidate for this position will be a licensed or affiliated lay-minister of an Apostolic Church, have technical experience with websites and copyediting, strong interpersonal skills, and a bachelor's degree or equivalent experience. This is a full-time hourly position with the principal responsibility of organizing and managing William Ballard's busy schedule.
